# Funding and Exposure

How to fund and manage your Adyen Account Virtual Cards

**Who this is for:** Users keeping the virtual credit card accounts funded.

Funds are only required <mark style="color:purple;">**when the supplier charges the card, not when the card is issued.**</mark> This reduces pre-funding and improves cashflow control.&#x20;

TL Pay separates account management from card management across two dashboards. Both **funding** and **exposure** are monitored on the Virtual cards dashboard.&#x20;

### Funding Virtual Cards account

Funding is managed directly from the Virtual Cards Dashboard - each sub-account header carries its own bank icon:

1. On the Virtual Cards Dashboard, select the bank icon on the sub-account you want to fund.
2. Copy the account number and sort code shown (each has a copy button).
3. Transfer the funds from your whitelisted bank account - the account named during your Adyen application, or an additional funding account added since. The account holder name on the transfer should be your registered business name; funding from a previously verified account processes faster.

Any required funds must be provided in your account prior to any charges<mark style="color:purple;">**, specifically your Adyen Virtual Card account, not your standard TL Pay**</mark><mark style="color:purple;">.</mark>&#x20;

**For immediate funding:** where funds are held in another of your TL Pay Adyen accounts, use **Move Funds** (the two-arrow icon on the account tile) - transfers between your own accounts are immediate. See the [TL Pay Dashboard page](/tl-pay-account/tl-pay-dashboard.md) for details.

* **Single-use cards:** fund the exact amount (plus optional tolerance).
* **Multi-use cards:** fund up to the total card limit.

It is also possible to keep a 'float' balance in the account to cater for fast turnaround of card payments, for example paying low cost carriers.

### Sub-accounts for cards

Many buyers operate several Virtual Cards sub-accounts, for example, one for hotels and another for airlines, giving each supplier category ring-fenced funds, its own exposure figures and its own alerts. Each sub-account tile carries its own Create VCC button: issue cards from the sub-account they should draw on. ### Monitoring your exposure

Each sub-account tile on the Virtual Cards Dashboard shows its **Account Balance** and **Available Funds** alongside three live exposure figures, calculated from its active cards’ amounts and **Estimated Charge Dates**. A red alert indicator appears on any sub-account whose exposure exceeds its available funds.

**Operating guidelines:** maintain Available Balance above 48h Exposure at all times; review 7d Exposure when planning top-ups or fund moves; and keep Estimated Charge Dates realistic - they remain editable after issuance, so update them when a supplier’s timing changes.

### Configuring funding alerts

Two configurable notifications monitor funding on your behalf. Both are set per sub-account (or for all accounts), can be delivered **by email, in-platform or both**, and can copy additional recipients (separate multiple addresses with a semicolon - useful for shared finance inboxes; or select to notify company Travel Ledger platform admin users).

Configure both alerts under **Notifications → Notifications Settings** - expand **Total Exposure** or **Low Available balance** to set thresholds, sub-accounts and delivery (in-platform, email, or both).

**Total exposure alert** - monitors total *unused card* exposure across your sub-accounts and fires when total exposure exceeds available funds. Your early warning that issued cards outstrip the balance backing them.

**Low available balance alert** - set a threshold per sub-account (e.g. GBP 1,000) and get alerted when a card charge takes available funds below it. This is your top-up trigger before the *next* charge fails.
